Vulnerable Customer Policy

At Ck Specialty Insurance Associates, Inc., our retail insurance brokers are at the heart of everything we do and we understand that the way in which we treat our consumer facing clients can alter outcomes for the end insurance customer. We built our business with retail brokers in mind because we believe in making insurance easy. From helping you obtain cover on a difficult to place risk to providing our most comprehensive offerings with admitted and regulated insurers. While firms are required to develop their own Vulnerable Customer processes that will be suitable for their business model and customer base, the Vulnerable Customer Policy has the following key elements, and firms will need to demonstrate they have the controls and measures in place to deliver on each of these in their day-to-day business dealings with the customer:

Policy Statement

Ck Specialty Insurance Associates, Inc. (the "Company") is committed to treating all customers fairly and with respect, recognizing that some customers may be vulnerable due to their personal circumstances. As an insurance intermediary based in the United States, we engage with international partners, including those regulated by the UK's Financial Conduct Authority (FCA). While the Company is not directly regulated by the FCA, we adopt this Vulnerable Customer Policy to align with best practices in customer care, ensure positive outcomes for vulnerable customers, and support our counterparties in meeting their regulatory obligations. This policy outlines our approach to identifying vulnerable customers, providing appropriate support, and embedding fair treatment into our operations. It applies to all employees, contractors, and representatives of the Company who interact with customers or handle customer data.

Definition of a Vulnerable Customer

A vulnerable customer is defined as someone who, due to their personal circumstances, is especially susceptible to detriment, particularly if the Company does not act with appropriate levels of care. Vulnerability can arise from various factors, including but not limited to:

• Health: Physical or mental health conditions, disabilities, or illnesses that affect decision-making or communication.

• Life Events: Significant changes such as bereavement, relationship breakdown, job loss, or financial hardship.

• Resilience: Low ability to withstand financial or emotional shocks, including limited financial literacy or access to support networks.

• Capability: Barriers such as language difficulties, digital exclusion, or cognitive impairments.

Vulnerability may be permanent, temporary, or situational, and it is not always obvious. The Company recognizes that vulnerability can affect any customer at any time.

Identification of Vulnerable Customers

The Company will proactively identify signs of vulnerability through:

• Customer Interactions: During communications (e.g., emails, calls, or meetings), staff will listen for indicators such as confusion, distress, or disclosures of personal challenges.

• Data Review: Analysis of customer records, claims history, or application details that may highlight vulnerabilities (e.g., age-related factors, health declarations, or payment difficulties).

• Self-Disclosure: Encouraging customers to share any circumstances that may require additional support, with assurances of confidentiality and non-discrimination.

• Third-Party Information:Insights from brokers, partners, or other intermediaries, while respecting data protection laws.

Staff are trained to use sensitive questioning techniques without being intrusive, and all identifications will be recorded securely in customer files for continuity of care.

Support and Fair Treatment

To ensure vulnerable customers receive good outcomes, the Company will:

• Tailor Communications: All relevant staff will receive mandatory training on this policy upon induction and annually thereafter. Training covers vulnerability recognition, support strategies, and regulatory awareness (including FCA principles for context).

• Allow Extra Time: Extend decision-making periods for policy purchases, renewals, or claims to reduce pressure.

• Offer Assistance: Refer customers to independent support services (e.g., financial counseling or advocacy groups) where appropriate, and collaborate with UK-regulated partners to align support.

• Product Suitability: Assess whether insurance products meet the customer's needs, avoiding sales that could lead to detriment.

• Claims Handling: Prioritize and expedite claims for vulnerable customers, with clear explanations and empathy.

• Complaints Process: Ensure complaints from vulnerable customers are handled promptly, with additional support if needed.

All actions will prioritize avoiding financial, emotional, or other harm, and decisions will be documented to demonstrate fair treatment.

Training and Responsibilities

• Training: Consumers are provided with products that perform as firms have led them to expect, and the associated service is both of an acceptable standard and what they have been led to expect.

• Responsibilities:

- Senior Management: Oversee policy implementation, ensure resources are allocated, and review effectiveness.

- Frontline Staff: Identify vulnerabilities, provide support, and escalate issues as needed.

- Compliance Team: Monitor adherence, conduct audits, and update the policy in response to changes in best practices or partner requirements.

- Accountability: Breaches of this policy may result in disciplinary action.

Monitoring, Review, and Reporting

The Company will monitor the policy's effectiveness through:

• Regular audits of customer interactions and outcomes.

• Feedback mechanisms, such as customer surveys focused on vulnerable groups.

• Key performance indicators (e.g., resolution times for vulnerable claims, complaint rates).

• Annual reviews by senior management, with updates as necessary to reflect evolving standards or feedback from partners like FCA-regulated entities.

Any identified issues will be addressed promptly, and aggregated data (anonymized) may be shared with partners to demonstrate compliance support.

Data Protection and Confidentiality

All information related to vulnerability will be handled in accordance with applicable data protection laws (e.g., GDPR for EU/UK interactions and US privacy regulations). Vulnerability flags will be used solely to improve customer service and will not affect eligibility for products unless directly relevant to risk assessment.

Policy Approval and Effective Date

This policy is approved by the Board of Directors of Ck Specialty Insurance Associates, Inc. and is effective immediately upon adoption. It will be reviewed annually or sooner if required by business changes or regulatory developments.
